Happier citizens with Kivra
Increased efficiency, reduced environmental impact and more satisfied citizens. Sundsvall Municipality has taken a big step into the digital future by using Kivra to send mail to its residents.
Digital first – A vision for the future
Sundsvall municipality, with its 100,000 residents, is a pioneer in digitalization. The municipality has a clear vision of working "digital first". This means that digital solutions should be the primary option for both citizens and employees. Kivra plays an important role in realizing this vision.
Postportalen – The municipality's own solution
Emelie Blomkvist, Head of Strategy and Governance at the Digitization and IT Department, explains that the municipality has chosen to develop much of its digital infrastructure in-house using open source.
We seem to have missed the math lesson, we're supposed to share, not multiply! Instead of 290 municipalities buying the same solution 290 times, we need to share and reuse solutions, says Emelie.
To streamline its digital mailings, Sundsvall municipality has developed Postportalen, its own platform for sending digital mail. By offering citizens the opportunity to receive mail digitally via Kivra, the municipality simplifies everyday life for its residents, reduces administration, and sees both economic and environmental benefits.
Smooth Transition
The transition to digital mail via Kivra has been both smooth and natural. Emelie says that there was hardly any reaction from citizens when they started sending invoices via Kivra. However, it became clear how much citizens appreciated the digital solution when a technical error temporarily led to some invoices being sent out via paper mail. Many people got in touch and wondered what had happened.
It's when something else happens that someone actually calls, notes Emelie.
Positive Results and Future Plans
Since the municipality started sending invoices via Kivra in February, they have seen a clear increase in the volume of digital mail and they have received positive feedback from employees.
Employees think it is much better and safer, says Emelie. And the feedback we have received is, among other things, that citizens read what we send in a different way.
The municipality has set a goal that 75 percent of all mail will go through the Postportal by June 2025 and will look into the possibilities of using Kivra to communicate with organizations and companies. In addition, Sundsvall Municipality plans to integrate Ånge municipality into the Postportal shortly. This means that Ånge municipality's residents will soon also be able to receive digital mail via Kivra, which further increases efficiency and contributes to a more sustainable future.
